Create Menu - Project - Quotation

This page describes the 'Quotation' function on the Create menu in the Project record window. If you are using iOS or Android, the 'Quotation' function is on the + menu.

If you need to create a Quotation from a Project, open the Project in a record window and select 'Quotation' from the Create menu (Windows/macOS) or + menu (iOS/Android). You do not need to save the Project before creating the Quotation. By default there is no limit to the number of Quotations that you can enter for a particular Project, but you can impose one by selecting the Allow one Quotation per Project only option in the Project Settings setting.

The new Quotation will be opened in a new window entitled 'Quotation: New'. This means that it has not yet been saved. After amendment if necessary, save the record in the Quotation register by clicking the [Save] button (Windows/macOS) or tapping √ (iOS/Android). Alternatively, if you no longer require the Quotation, click [Cancel] or tap <.

The Project Code, Customer Number and Name, Tags/Objects and Salesman will all be copied from the Project to the Quotation, and the Date of the Quotation will be set to the current date. If the Project does not have a Salesman, the first Project Manager will be used as the Salesman in the Quotation. The invoicing methods ("Actual" or "As Budgeted" for each cost type) will be taken from the Project Settings setting.

To close the screen and return to the Project, click the close box(Windows/macOS) or tap < (iOS/Android). You will be asked if you would like to save any changes that you may have made.

If the Customer accepts the Quotation, you can create a Project Budget from it by opening it in a record window and selecting 'Project Budget' from the Create or + menu. The Items, quantities, prices and invoicing methods in the Quotation will be copied to the new Project Budget record. You can also create a Project Budget from the Project, but in this case the Items will not be copied.
