Job Groups

You can divide members of personnel into Job Groups. This, in combination with the Item/Job Group Prices and Job Group/Item settings, allows you to set hourly labour rates for the Job Groups to which each Person belongs.

Code
The code can have a maximum of 5 characters.

Name
Enter a name for the Job Group.

Only Short Codes Allowed
Some companies can have several different types of time which are chargeable to Customers at different rates. Examples might be consultancy, programming services or installation. These should be set up as separate records in the Item register. One possible use for Job Groups might then be to divide up the company's employees according to the work they do. If so, you can ensure that no Time Sheets or Activities are entered in the names of members of this Job Group that refer to other Items (i.e. to work which those employees do not do). To use this feature, switch this check box on and list the allowable Items in the grid below.

Short Code, Item
Members of a Job Group can give their own personal short codes to the Items that represent their work. This is useful if you have several thousand records in your Item register, of which only two or three represent work likely to be carried out by members of this Job Group. So, to save time in locating Items when filling in Time Sheets and Activities, each Job Group can create their own codes for the Items they use.

Use this grid to allocate these short codes to each Item. When entering Time Sheets and Activities for members of this Job Group, either the short code or the Item Code can be used.

For example, referring to the example shown in the illustration above, you can enter either the short code "CON" or the full Item Code ("T004") in Time Sheets and Activities for members of this Job Group. If you enter "CON", Hansa will replace it with the correct Item Code.

If the Only Short Codes Allowed option (described above) is on, only those Items listed in the grid can be used in Time Sheets and Activities for members of this Job Group. This applies to both time and materials.

Take care that your short codes do not accidentally duplicate Item Codes, Alternative Codes or Bar Codes.
