Price List Examples - Dated Price Lists
This page describes using a Price List that is valid for a particular period of time.
- A Price List that is valid for a particular period of time is a temporary Price List. Typically you will use it in place of a standard Price List during its period of validity. For this example, start by assigning a standard Price List to your Customers and/or Customer Categories:
In the "RRP" (Recommended Retail Price) Price, each Item is listed with its Base Price.
- You decide you want to offer an 18% discount for the month following the annual trade show, and a 14% discount for the two weeks after that.
Do not change the "RRP" Price List or your Customers or Customer Categories. Instead, define a new Price List with an 18% Price Formula. Enter the period of validity (the month after the trade show) in the two Period fields, and use the Replace field to signify that this new Price List is to take the place of the "RRP" Price List during that period:
- Similarly, enter a new Price List with a 14% Price Formula for the next two week period. Again, use the Replace field to signify that this new Price List is to take the place of the "SEVEN" Price List during this period. When this Period expires, the "SEVEN" Price List will be used once again.
- Use the 'Calculate Prices' Maintenance function to create new Price records for both new Price Lists.
- When you enter an Invoice or Quotation, the appropriate Price List will be used, based on the Invoice Date or the Quotation Date respectively. However, in Orders, you can choose whether choice of Price List will be controlled by the Order Date, the Planned Delivery Date or the Despatch Date. This choice is set for each Customer, using the Price Based On options on the 'Pricing' card of each Contact record:
If you change the determining date (e.g. if you change the Invoice Date in an Invoice) after specifying the Customer, use the 'Update Currency Price List Items' Operations menu function to recalculate the prices of any Items that you have already added to the record.
You can also enter the "14" or "18" Price Lists directly in a Quotation, Order or Invoice. They will only be used during their period of validity. At other times, prices from the "RRP" Price List will be used.
It is not recommended that you enter dated Price Lists (i.e. the "14" or "18" Price Lists) in Contact records or in Customer Categories, because results will be inconsistent when they expire.
