External Mail - Outgoing External Mail (SMTP)

This page describes how to register the log-in details for your SMTP account in Standard ERP. This will allow the Gateway to send external mail (email).

An SMTP (Simple Mail Transfer Protocol) server is used for outgoing mail. The Email SMTP Server setting in the Email and Conferences module is where you should enter the log-in details for your SMTP account. This will allow the Gateway to log in so that it can send your external mail.

Working on the data server machine or having connected using a normal client, use the [Switch Module] button in the Navigation Centre to ensure you are in the Email and Conferences module, and then open the Email SMTP Server setting from the 'Settings' list.

SMTP Address
If you do not know it already, you can obtain the IP Address of the SMTP server by pinging the domain name (i.e. the part of the address after the @). Usually it will be the same as that for the POP3 server. Alternatively, enter the domain name itself, which you can often find on the provider's web site.

Port
Usually this will be 25, 465 or 587. You may need to confirm this with your provider or by checking their web site.

User Address
When a user sends an email, the return email address (i.e. the sending address) will be taken from the user's Global User or Person record. If a user does not have a separate email address (i.e. the Email Address field in their Global User or Person record is blank), the address that you enter here will be used instead.

SSL
Tick this box if your SMTP account requires you to log in using SSL. This is the case with Gmail accounts, for example.

Max. File Size
Enter the size limit imposed on individual mails by your SMTP account. You will be warned if you try to send a mail that is larger than this.

User
Specify the authentication ID that you use to log in to the SMTP account. This will often be the same as the User Address above. Some SMTP servers do not require a login ID or password, but such servers are becoming rare in an effort to reduce the sending of spam mail.

Password
Specify the password that you use to log in to the SMTP account.
This information can all be obtained from your service provider or from the preferences in your standard mail software (e.g. Outlook, Eudora, Mail, etc).

You only need use the remaining fields and options in the Email SMTP Server setting if you will be using the Automatic External Gateway. Use them to activate the Automatic External Gateway and to specify the log-in details that it will use to log in to the server. To use the Automatic External Gateway, your server must be a Mac OS X machine.

Start Gateway Automatically
Select this option to activate the Automatic External Gateway.

If you select this option, you should ensure your Standard ERP server folder contains the slave version of the application.

Selecting this option will mean that whenever you start the Standard ERP server application, the slave application will be started automatically and will log in to the server using the Signature and password that you specify in the fields below. The slave application will then act as an External Gateway. The slave application will be closed automatically when you shut the server down. If necessary, you will also be able to disconnect the slave application from the server through the Active Users setting in the System module, but you will then need to restart the server in order to restart the slave.

Gateway User
Paste Special    Person register, System module and Global User register, Technics module
Enter the Signature of the user that the slave application will use as its log-in ID. The Gateway user should be a Named User with Mailbox and password that should only have access to the External Gateway module: please refer here for more details.

Gateway Password
Enter the Password that the slave application will use to log in.

Interval (s)
Specify in seconds how often the Gateway is to check for outgoing mail.When the setting is complete, click the [Save] button in the Button Bar (Windows/Mac OS X) or tap √ (iOS/Android) to save and close the window. To close the window without saving changes, click the close box or tap <.
