Using Access Groups to Control Changes to Base Prices

If you are using the Do Not Allow Base Price Change option in the Item Settings setting, you will not be able to open an Item record and change the Item's Base Price. The only way you will be able to change an Item's Base Price will be through the Base Price Changes setting in the Stock module or using the 'Update Item Base Prices' Maintenance function in the Pricing module.

In multi-user systems, you can use Access Groups to control access to the Base Price Changes setting and the 'Update Item Base Prices' Maintenance function. To do this, first move to the System module using the [Switch Module] button in the Navigation Centre, and then open a record in the Access Groups setting. If you will assign the Access Group to Person records that start from the No Access position, use the matrix to grant access to specific features:

If you will assign the Access Group to Person records that start from the Full Access position, use the matrix to deny access to specific features:

If the Base Price Changes setting and the 'Update Item Base Prices' Maintenance function are not listed in the grid, access to them will depend on the chosen Start From option. If this is No Access, members of the Access Group will not be able to change Base Prices. If it is Full Access, they will be able to make such changes.

You may also need to consider granting or denying access to the Price register in the Pricing module or to the Pricing module as a whole, to control who can change prices in Price Lists.
