Create Menu - Production Operation - Workflow Activity

This page describes the 'Workflow Activity' function on the Create menu in the Production Operation record window. If you are using iOS or Android, the 'Workflow Activity' function is on the + menu.

The 'Workflow Activity' function allows you to create Activities from Production Operations. You will usually need to do this if you have used the Time options in the Production Settings setting to choose that you will record Actual Time against Production Operations. In this case, you will record that time using Activities that you create using this function.

To create an Activity from a Production Operation, first open the Production Operation in a record window and then select 'Workflow Activity' from the Create menu (Windows/macOS) or + menu (iOS/Android). The following window will open, allowing you to create a new Activity:

The new record will be opened in a window entitled 'Activity: Inspect'. This means that it has already been saved and is being opened for checking. The new Activity will contain the following information:
  • The Activity Type will be taken from the Activity Types, Sub Systems setting in the CRM module.

  • The setting of the Done check box will also be taken from the Activity Types, Subsystems setting (if you are using Activities to record Actual Time against Production Operations you should not have the Done check box ticked automatically as this will prevent you from entering or editing Start and End Times in the Activities).

  • The Task Type will be Calendar.

  • The Symbol will be Other.

  • The Start and End Dates and Times in the Activity will be copied from the Start and End Dates and Times in the Production Operation.

  • The Labour Cost Item specified in the Production Settings setting will be copied to the Item field on the 'Service' card of the Activity.

  • The Person of the Activity will be taken from the Production Operation (Actual Person field on the 'Comment' card), while the initials of the current user will appear in the Cc field (the current user will be the Person in the Activity if there is no Person specified in the Production Operation). As the Task Type will be Calendar, the Activity will be placed in the Calendars of the Person from the Production Operation and the current user.

  • The Production and Production Operation Numbers will be copied to the 'Service' card in the Activity.

  • The Comment from the Production Operation will be copied to the Text field in the Activity, and the Production and Production Operation Numbers will also be copied to the Activity ('Service' card.
After amendment if necessary, save the record in the Activity register by clicking the [Save] button (Windows/macOS) or by tapping √ (iOS/Android). You can then close it using the close box (Windows/macOS) or by tapping < (iOS/Android). Alternatively, if you no longer require the Activity, remove it using the 'Delete' function on the Record menu (which has a 'cog' icon if you are using iOS or Android). In either case, you will be returned to the Production Operation window.

If you have created the Activity because you are recording Actual Time against Production Operations as mentioned in the first paragraph, mark the Activity as Done before saving. When you have recorded the entire time spent working on the Production Operation using Done Activities, choose 'Add Labour' from the Operations menu of the Production Operation. This will add a row to the Production Operation with the Labour Cost Item and Work Cost per Hour specified in the Production Settings setting. The quantity will be the total time for all Done Activities created from the Production Operation. Please refer to the description of the 'Add Labour' function above for more details.

The Production Operation and the Activity will be connected to each other through the Link Manager and Workflow Manager. When reviewing the Activity, you can return to the Production Operation quickly and easily using the Link Manager in the Activity, while you can open the Activity from the Production Operation using the Workflow Manager.

You can also use Activities to schedule personnel to work on Production Operations. In this case, you need to create the Activities in advance of working on the Operation. You can still specify Start and End Dates and Times in the Activity, mark it as Done and bring it into the Operation using the 'Add Labour' function as already described in this section.
