Customer/Item Statistics

This page describes the Customer/Item Statistics report in the Sales Ledger and in the CRM module.

The Customer/Item Statistics report found in the Sales Ledger compares the sales made to each Customer during two periods. The Items sold to each Customer are listed, showing the quantities sold and the turnover (i.e. total sales value) for both periods, and the difference in these figures between the two periods. Figures in the report are calculated from Invoices, POS Invoices and Bar Tabs.

When printed to screen, the Customer/Item Statistics report has the Standard ERP Drill-down feature. Click (Windows/macOS) or tap (iOS/Android) on any Customer Number to open the Contact record for the Customer or on any Item Number to produce an Item Statistics report for the Item/Customer combination.

Leave all the fields blank if the report is to cover all Customers and all Items. If you need to restrict the coverage of the report, use the fields as described below.
Customer

If you need the report to list and compare the Items sold to a particular Customer during the two report periods, enter the Contact Number for that Customer here. You can also enter a range of Contact Numbers separated by a colon (:).

Category

If you need to list and compare the Items sold to Customers belonging to a particular Customer Category, specify the Category here.

Classification

Use this field if you need to list and compare the Items sold to Customers with a particular Classification. If you enter a number of Classifications separated by commas, only Customers featuring all the Classifications listed will be included in the report. If you enter a number of Classifications separated by plus signs (+), the report will show Customers featuring at least one of the Classifications listed. If you enter a Classification preceded by an exclamation mark (!), Customers featuring any Classification except the one listed will be included.

For example:

Lists sales to Customers with Classifications 1 and 2 (including those to Customers with Classifications 1, 2 and 3).

Lists sales to Customers with Classifications 1 or 2.

Lists sales to all Customers except those with Classification 2.

Lists sales to Customers with Classification 1 but excludes those to Customers with Classification 2 (i.e. sales to Customers with Classifications 1 and 2 are not shown). Note the comma before the exclamation mark in this example.

!1,!2
Lists sales to all Customers except those with Classification 1 or 2 or both. Again, note the comma.

!(1,2)
Lists sales to all Customers except those with Classifications 1 and 2 (sales to Customers with Classifications 1, 2 and 3 will not be listed).

Lists sales to Customers without Classification 1 and to those with Classification 2 (sales to Customers with Classifications 1 and 2 will be listed).

Lists sales to Customers with Classifications 1 and 2, and to those with Classifications 3 and 4.

Lists sales to Customers with Classifications beginning with 1 (e.g. 1, 10, 100).

Item No.

If you need the report to list and compare the Customers who have bought a particular Item during the two report periods, enter the relevant Item Number here. You can also enter a range of Item Numbers separated by a colon (:).

Item Groups

If you need to list and compare the Customers who have bought Items belong to a particular Item Group, specify the Item Group here.

If you specify both a range of Items and a range of Item Groups, the report will only list the Items in the range that are members of the specified Item Groups.

Item Classification

If you need the report to list and compare the Customers who have bought Items with a particular Item Classification, specify that Item Classification here. You can also construct a complex search string using the +, ! and * characters as described under Classification above.

Branch

Specify a Branch if you only want the statistics in the report to be compiled from Invoices, POS Invoices and Bar Tabs featuring that Branch. This will be useful if your company has several Branches (e.g. several shops): the Branch where each transaction was created will automatically be recorded (for example, on the 'Del. Terms' card of the Invoice window), taken from the Local Machine setting in the User Settings module.

Bar Tab Class

Specify a Bar Tab Class if you only want the statistics in the report to be compiled from Bar Tabs featuring that Class. If you specify a Bar Tab Class in the Local Machine setting in the User Settings module on a particular computer or till, it will be copied to all Bar Tabs created on that machine. If you want waiters to be able to change the Class in a particular Bar Tab, add a want waiters to be able to change the Class in a particular Bar Tab, add a "Set Tab Class" button to the Bar Tab window.

This period

Enter the first and last dates of the reporting period, separated by a colon.

Compared period
Paste Special    Reporting Periods setting, System module
Enter the first and last dates of the period with which the reporting period is to be compared, separated by a colon.

Tag/Object from Customer

To restrict the report to Customers with a particular Tag/Object, specify that Tag/Object here.

Country from Customer
Paste Special    Countries setting, System module
To restrict the report to Customers in a particular Country, enter the Country Code here.

Show Item Groups Only
The report is a list of Customers. For each Customer, the Items purchased in both periods will be listed individually with quantity and turnover figures shown. Select this option if you do not need Items to be listed individually and instead would like to see summary figures for each Item Group.

Clicking (Windows/macOS) or tapping (iOS/Android) on an Item Group will produce a second Customer/Item Statistics report listing the Items belonging to the Item Group. In other words, the second report will be produced with the Item Group specified and with this Show Item Groups Only option not selected.

Show Varieties
If an Item is one that has Varieties, the report will usually display figures for the Item as a whole. Select this option if you would like it to display figures for each Variety individually.

This option will be selected by default if you are using the Default to 'Show Varieties' in all Reports option in the Variety Settings setting in the Stock module.
