The Daily Allowance Register - Examples
These examples illustrate how the Rate Type in a Daily Allowance will affect the calculation of claimable values.
Rate Type = Rate per Type of Meal
The
Rate per Type of Meal option allows you to set fixed rates for each meal (breakfast, lunch and dinner). If any of these meals are provided, the claimable allowance will be calculated by subtracting the fixed rate for the relevant meal from the Rate per Day. Follow these steps:
- Choose the Rate per Type of Meal option on the 'Default Rates' card in the Daily Allowance Settings setting:
- In the Daily Allowance Rate records for each Country, specify a Rate per Day in the header, and use the Breakfast Rate (%), Lunch Rate (%) and Dinner Rate (%) fields on the 'Per Meal Type' card to set the fixed rates for each meal:
In this example, the Breakfast Rate is 20% of the Rate per Day so, if breakfast is provided, the claimable allowance will be calculated by subtracting 20% from the Rate per Day. The Lunch Rate is 30% and the Dinner Rate is 50%.
- When you specify the Country in a row in a Daily Allowance record, the Rate per Day and the Breakfast Rate (%), Lunch Rate (%) and Dinner Rate (%) will be brought in to the fields on flip C:
- By default, all three meals will be set to "Not Provided" on flip B. This means the full Rate per Day is claimable. So, on flip D, the Provided fields will all contain zero values and the Compensation field will contain the full Rate per Day:
- If you specify on flip B that breakfast was provided, you will not be able to claim for the breakfast. A breakfast allowance will be calculated by applying the Breakfast Rate to the Rate per Day. This figure will be placed in the Provided Breakfast field on flip D, and the Compensation will be reduced accordingly. In this example, the breakfast allowance is the Rate per Day (150.00) * Breakfast Rate (20%) = 30.00.
- If you also specify on flip B that lunch was provided, you will not be able to claim for the lunch. A lunch allowance will be placed in the Provided Lunch field on flip D, and the Compensation will be reduced accordingly. In this example, the lunch allowance is the Rate per Day (150.00) * Lunch Rate (30%) = 45.00.
Rate Type = Rate per Number of Meals
Use the
Rate per Number of Meals option if the claimable proportion of the Rate per Day will vary, depending on how many meals were provided. Follow these steps:
- Choose the Rate per Number of Meals option on the 'Default Rates' card in the Daily Allowance Settings setting:
- In the Daily Allowance Rate records for each Country, specify a Rate per Day in the header, and fill in the One Meal Rate (%), Two Meals Rate (%) and Three Meals Rate (%) fields on the 'No. of Meals' card:
In this example, the One Meal Rate is 30% of the Rate per Day so, if one meal is provided, the claimable allowance will be calculated by subtracting 30% from the Rate per Day. The Two Meals Rate is 65% and the Three Meals Rate is 100%.
- When you specify the Country in a row in a Daily Allowance record, the Rate per Day will be brought in to flip C, and the Breakfast Rate, Lunch Rate and Dinner Rate fields will be set to zero:
- By default, all three meals will be set to "Not Provided" on flip B. This means the full Rate per Day is claimable. So, on flip D, the Provided fields will all contain zero values and the Compensation field will contain the full Rate per Day:
- If you specify on flip B that breakfast was provided, you will not be able to claim for the breakfast. A breakfast allowance will be calculated by applying the One Meal Rate to the Rate per Day. This figure will be placed in the Provided Breakfast field on flip D, and the Compensation will be reduced accordingly. In this example, the breakfast allowance is the Rate per Day (150.00) * One Meal Rate (30%) = 45.00.
The One Meal Rate will be placed in the Breakfast Rate field on flip C:
- If you also specify on flip B that lunch was provided, you will not be able to claim for the lunch. A lunch allowance will be placed in the Provided Lunch field on flip D, and the breakfast allowance will be recalculated because two meals are now provided. The Compensation will be reduced accordingly. In this example, the breakfast and lunch allowances are now the (Rate per Day (150.00) * Two Meals Rate (65%)) / 2 = 48.75.
The Two Meals Rate will be shared between the Breakfast Rate and Lunch Rate fields on flip C:
