Entering an Approval Rules record - Header

This page describes the fields in the Header of the Approval Rules record. Please follow the links below for descriptions of the other cards:

Paste Special    Choices of possible entries
Using 'Paste Special', choose the register to which the Approval Rules record is to apply.

In the case of Sales Invoices, you should create separate Approval Rules records for Cash Notes (Invoices with a "Cash" Payment Term), Credit Notes and all other Invoices. If you do not create a record for Cash Notes, for example, the Rule for Invoices will not be used in its place.

Comment
Any Comment that you enter here will be shown in the 'Approval Rules: Browse' window.

Contact
Paste Special    Customers, Suppliers and Contact Persons in Contact register
Use this field if you would like different approval processes to be followed depending on the Customer or Supplier.

For example, you can create one Approval Rules record for Purchase Orders issued to Supplier 507, and a second Approval Rules record for Purchase Orders in which this field is empty, to be used for all other Suppliers.

If you are entering Approval Rules records for the Expense register, you can enter the Contact Number of a particular Person here. For example, you might enter a record in which this field is empty and the Approval Person is Person A. This would mean that Person A will approve all Expenses. But if Person A should not approve their own Expenses, you would need to enter a second record in which this field contains Person A's Contact Number and with another Person as the Approval Person. Person A's Contact Number is the Contact Number in their Person record. If Person A is a Global User, they must have a Person record in the Company in which they will claim expenses, and this Person record must contain a Contact Number that refers to a record in the Contact register in the same Company.
