The Timekeeper Module - Clocking In and Out

This page describes clocking in and out of a Standard ERP database for the purposes of the Timekeeper feature.

When an employee who has "None" access to the 'Working without clocking in' Action logs in to your Standard ERP system, a clock-in Activity will be created automatically (i.e. the employee will be clocked in automatically). The log-in time will be recorded in the Start Time field in this Activity. The Activity Type will be the Clock In/Out Activity Type from the Activity Types, Subsystems setting, the Text will be "Clocked in", the Task Type will be "Work Hours" and the Calendar Type will be "Time":

If an employee without automatic clocking-in (i.e. an employee who does not have "None" access to the 'Working without clocking in' Action) logs in, that employee can clock in manually. If they are using Windows or macOS, they should open the Operations menu in the Navigation Centre and select 'Clock in':
70 If the employee is using iOS or Android, they should open the Tools menu (with 'wrench' icon) in the Navigation Centre and select 'Settings'. They should then open the Tools menu again and select 'Clock in'.

A clock-In Activity as described above will be created.

After logging in, an employee will be able to record normal Activities such as lunch breaks etc, and will be able to log in and out of the system without limit within the planned shift. The employee will remain clocked in.

When an employee needs to clock out, they should proceed as follows:

  • If the employee is using Windows or macOS, they should open the Navigation Centre, open the Operations menu and select 'Clock out':

  • If the employee is using iOS or Android, they should open the Tools menu (with 'wrench' icon) in the Navigation Centre and select 'Settings'. They should then open the Tools menu again and select 'Clock out'.
In both cases, the Text in the Activity that was created when the employee clocked in will be changed to "Clocked in and Clocked out", the End Time and Cost(Time) will be filled in and the Activity will be marked as Done.

As well as being clocked out, the employee will be logged out.

Note that when an employee logs out, they will not also be clocked out. Therefore they will need explicitly to clock out at the end of their shift. If an employee forgets to clock out, they will be asked if they want to clock out when they log in the next day (this message will not appear when logging in the same day, only when logging in the next day or later):

If the employee presses the [Yes] button, their previous clock-in Activity will be closed with the current end time. The Activity Text will be changed to "Clocked in and Clocked out late". This could possibly result in a shift with very long hours, which will be shown in the Hours Worked Analysis report.

There could be a case where a shift extended over midnight, in which case the employee will answer [No] and the previous shift will continue.
