External Mail - in a Single-User Installation

This page describes configuring a single-user installation of Standard ERP so that it can send and receive external mail (email).

If you have a single-user installation of Standard ERP, it is unlikely that you will want to use the internal mail facility. However, you may still wish to send and receive external mail (email). If so, follow these steps to configure Standard ERP:

  1. In the Configuration setting in the System module, ensure you have set the number of Users to one. If you are using the Concurrent User option, set the number of Concurrent Users to one as well, and also set the number of Extra Mailboxes to one to allow you to use Standard ERP's mail facilities.

    Check the Email and Conferences box on the 'CRM' card to gain access to the Email and Conferences module, which you will use to configure Standard ERP to send and receive external mail. Do not tick the External Email box, and make sure too that the Use External Gateway box in the Optional Features setting is not ticked.

  2. Make sure the Person register in the System module contains a single record for yourself, containing your email address.

  3. Use the [Switch Module] button in the Navigation Centre to enter the Email and Conferences module. If you do not already have a Mailbox, follow the instructions on the Mailboxes page to create one.

  4. Following the instructions on the Outgoing External Mail page, configure the Email SMTP Server record with the address of the server to which your outgoing mail should be sent.

    If you find that you are unable to send external mail, one reason might be that your email account does not accept non-8-bit MIME emails. If so, place an empty file named EnNo8BMIME in the folder containing the Standard ERP application and restart.

  5. Move on to the External Mail - Incoming External Mail page, and enter an Email POP3 Server record to represent your POP3 account.

  6. In the Mail and Conference Settings setting, if necessary tick the Lock and Send emails Automatically and the Use HTML Formatting in Mail options.

    If you need a Postmaster, you will need to create a Conference for this purpose. You cannot use your own Mailbox as the Postmaster, because the Postmaster cannot send external mail.

  7. Finally, refer to the Encoding page to configure the DB Encoding and Default Mail Encoding fields in the Company Info setting in the System module.

  8. You will now be able to send and receive email. The Gateway register is not required in single-user installations.
