Numbers per Machine

This page describes the Numbers per Machine report in the System module.

In a retail or bar/restaurant environment, you may have tills or cash machines with live-sync connections to the server. If so, you will have used the Synchronised Number Series setting in the Technics module to specify the number sequences that are to be used on each till or cash machine. For example, this setting will ensure that each till or cash machine uses its own sequence for POS Invoice Numbers, to ensure there are no conflicts when POS Invoices are uploaded to the server. As a till or cash machine uses the numbers in its allotted sequence, a new sequence will be sent to it by the server. Please refer here for more details about the Synchronised Number Series setting.

You can monitor the batches of numbers that have been sent to each till or cash machine. Working on a desktop client, use the Sync. Allocated Serial Numbers and Sync. Registered Database ID settings in the Technics module and/or the Numbers per Machine report in the System module. The last is described here.

The Numbers per Machine report is a print-out of the content of the Sync. Registered Database ID setting. It therefore lists the number sequences that are currently in use and those that have been sent for future use. Number sequences that have been fully used up in the past will have been removed from the setting and so will not be shown in the report. For example, when a live-sync till logs in to the server for the first time, a batch of unused Numbers such as 1000-1049 will be sent to that till from the Synchronised Number Series setting on the server. The report will show 1000-1049 as the range with 999 as the last-used number. As records are added to the live-sync till, the last-used number will be increased. At some point (e.g. when record 1030 is saved), the next batch of numbers (e.g. 1050-1099) will be sent to the till. The report will now show 1000-1049 with last-used number 1030 and 1050-1099 with last-used number 1049. When record 1050 is saved, the first sequence will be removed from the setting and report, which will now show 1050-1099 with last-used number 1050.
