Checklists

This page describes the Checklists setting in the Hotel module.

A Check In List (also known as a Check In Message) is a report that is printed to screen whenever a Guest checks in. Similarly, a Check Out List (or Check Out Message) will be printed to screen whenever a Guest checks out. These reports provide reminders of the Guest Services that you can offer, such as wake-up calls, newspapers, etc. You can book the services that the Guest requires from the reports.

The Checklists setting is where you can specify the Guest Service Types that will be listed in these reports. Usually you will need to enter two records in this setting: one for the Check In List and one for the Check Out List. You can enter more than one pair of Checklist records if you need to offer different services depending on the Room Package purchased by a Customer.

After entering your Checklist records, specify when they will be used as follows:

  1. In the Hotel Settings setting, use the Check In Message and Check Out Message fields on the 'Check In/Out' card to specify the Checklists that will be used by default to construct the reports that will appear on screen when Guests check in and out.

  2. If you need to use different Checklists with a particular Room Package, specify those Checklists in the Check In List and/or Check Out List fields as appropriate in the relevant Room Package record.
You can also use Checklists to prepare lists of tasks that should be carried out when preparing Rooms for checking in and when cleaning Rooms after checking out. If you specify that the 'Nightly Maintenance' Maintenance function should create Cleaning Activities, it will create separate Activities for each Room that is due to be checked in or checked out. The 'Text' card in these Activities will list instructions for housekeeping, copied from specified Checklist records. For this purpose, you can enter two records in this setting as needed: one for Room preparation prior to checking in and one for Room cleaning. After entering these Checklist records, specify when they will be used using the Activity Check In Details and Activity Check Out Details fields in the Housekeeping setting. In each Checklist record, specify a Code and a Comment and list the Guest Service Types in the matrix. You can use 'Paste Special' to choose the Guest Service Types.

Illustrated below is a Checklist containing services that might be offered to Guests when checking in:

When a Guest checks in (i.e. when you press the [Check In] button in a Reservation), the following report will be printed to screen:
