Create Menu - Service Order - Items In

This page describes the 'Items In' function on the Create menu in the Service Order record window. If you are using iOS or Android, the 'Items In' function is on the + menu.

After entering a Service Order, you will receive the Item to be repaired into your workshop. You can do this by entering a Service Stock Transaction and/or, if you are subscribing to the Internal Stock module, an Items In record. The Items In record will add the Item being repaired to your internal stock so you will be able to use the Internal Stock List report in the Internal Stock module to list the Items you currently have in for repair. When you have repaired the Item, you will then need to create an Items Out record to remove it from internal stock.

To create an Items In record from a Service Order, open the Service Order in a record window and select 'Items In' from the Create menu (Windows/macOS) or + menu (iOS/Android). A new record in the Items In register (in the Internal Stock module) will be created and will immediately be opened in a new window. The title of the window will be 'Items In: Inspect', signifying that the record has been created and saved and is being opened for amendment and approval.

By default, the Location in the Items In record will be copied from the Service Order. If the Location in the Service Order is blank, the Service Location specified in the Stock Settings setting will be used.

Each row in the Service Order will be listed in the new Items In record except any that you have already recorded in a previous Items In record.

If you wish to change the Items In record, you should do so before marking it as Accepted. By default, all the repair items on the originating Service Order will be listed in the Items In record: if appropriate, you can remove some of these items from the grid.

When the Items In record is complete and correct, you can approve it by marking it as Accepted and saving. The repair Items will be added to internal stock in the specified Location and the record will no longer be modifiable.

The Service Order and the Items In record will be connected to each other through the Link Manager facility. This allows you to open the Service Order quickly and easily when reviewing the Items In record, and to open the Items In record from the Service Order.

If you need to prevent particular users from creating Items In records from Service Orders, assign them to Access Groups in which you have denied access to the 'Items In from Service Order' Action.
