Create Menu - Service Order - Quotation

This page describes the 'Quotation' function on the Create menu in the Service Order record window. If you are using iOS or Android, the 'Quotation' function is on the + menu.

As part of the process of entering a Service Order, the Customer may require you to issue a Quotation for the repair. You can create the Quotation from the Service Order, and then if the Customer accepts the Quotation, create the Work Sheet from the Quotation. All prices and other details will be transferred from the Quotation to the Work Sheet.

If you need to create a Quotation from a Service Order, open the Service Order in a record window and select 'Quotation' from the Create menu (Windows/macOS) or + menu (iOS/Android). You should save all changes first. You can only create a single Quotation from a particular Service Order, and you cannot create Quotations from a Service Order that you have marked as Completed.

The new Quotation will be opened in a window entitled 'Quotation: Inspect'. This means that it has already been saved and is being opened to allow you to list the Items that will be needed to complete the repair. After amendment if necessary, save the record in the Quotation register by clicking the [Save] button (Windows/macOS) or tapping √ (iOS/Android). Alternatively, if you no longer require the Quotation, remove it using the 'Delete' function on the Record menu (which has a 'cog' icon if you are using iOS or Android).

The Service Order Number, Customer Number, Name and address details, Comment and Salesman will all be copied from the Service Order to the Quotation, and the Date of the Quotation will be set to the current date. The Salesman in the Quotation will be the current user. The Name and Serial Number of the Item to be repaired will be copied to the first rows on the 'Items' card.
70On the 'Items' card, list the Items (e.g. spare parts and labour) that will be required. After saving, print the Quotation by clicking the Printer icon (Windows/macOS) or selecting 'Print' from the File menu (all platforms). Alternatively, if you will email the Quotation to the Customer, select 'Email' from the Create menu (Windows/macOS) or + menu (iOS/Android).

If the Customer accepts the Quotation, you can create a Work Sheet from it by opening it in a record window and selecting 'Work Sheet' from the Create or + menu. The Items, quantities, prices and invoicing methods in the Quotation will be copied to the new Work Sheet record.

The Service Order and the Quotation will be connected to each other through the Link Manager facility. This allows you to open the Service Order quickly and easily when reviewing the Quotation, and to open the Quotation from the Service Order.

You must save a Service Order before you can create a Quotation. This is to ensure the links mentioned in the previous paragraph can be established.
