Completing an Activity

As you work your way through your Activities, you will want to mark off each one as completed. This will have the effect of building up an accurate contact history for the Customers and Suppliers concerned. In the case of To Do Activities, marking them as completed will also remove them from the default listing in the Task Manager.

To do this, open an Activity and tick the Done box. If necessary, enter a Result and press Tab or Return. The End Date and End Time will be filled in automatically. Change to the 'Text' card to record any comments about the carrying out of the task in the grid area. Click the [Save] button (Windows/Mac OS X) or tap √ (iOS/Android) to save the changes. Depending on how you have set up your Activity Consequences, a follow-up Activity may be created automatically.

Once you have marked an Activity as Done and saved it, you cannot change many fields such as the Start and End Dates and Times and Persons. If you realise that a Done Activity contains a mistake, you can open the Activity and select 'Invalidate' from the Record menu (which has a 'cog' icon if you are using iOS or Android). Red lines will be drawn through all the fields, and the Activity will be removed from the Calendar, Task Manager and all reports. Then select 'Duplicate' from the Create menu (Windows/Mac OS X) or + menu (iOS/Android) to create a new Activity without the mistake.

You will not be able to invalidate an Activity in the following circumstances:

  • You have been assigned to an Access Group that has been denied access to the 'Invalidate Activities' Action.

  • A Project Transaction was generated from the Activity when it was marked as Done and saved, and an Invoice has been created from the Project Transaction.

  • A Work Sheet Transaction was generated from the Activity when it was marked as Done and saved, and an Invoice has been created from the Work Sheet Transaction.

  • The Start Date in the Activity is earlier than the Lock Activities date in the Locking setting in the System module.
