Automatic

You can use the 'Automatic' function to import text and encrypted files created by any of the export functions in Books by HansaWorld. It determines from information contained in the first line of such files what the file contains and thus in which register the information is to be saved.

You can use this function when you need to restore from a back-up. You can also use it to import information to a Company holding the consolidated accounts of several subsidiaries.

A further use will be to import set-up information such as a Chart of Accounts and base register data such as Customers and Vendors, thus ensuring that the task of accurately entering this information need only be undertaken once.

Finally, you can also use this function to import data exported from other systems, after appropriate formatting.

To use the 'Automatic' import, follow the steps described below. If you have more than one Company, the file will only be imported to the Company you are working in. Repeat the process in each Company as required.

1. In a multi-user system, ensure you are the only user logged in. Importing is disabled if there are two or more users working in the system.
   

2. Ensure you are in the System module and click the [Routines] button in the Master Control panel and then click [Imports]. Alternatively, use the ⌘-Shift-I (Mac OS X) or Ctrl-Shift-I (Windows) keyboard shortcut.
   

3. Double-click 'Automatic', or click once and press the Enter key. The 'Import files available' window opens, listing importable files (with .txt extension) in the "Backup" folder inside the "Books.hdf" file and in the "Setup" folder inside the Books application (Mac OS X) or in the "Backup" and "Setup" directories inside the directory containing the Books by HansaWorld application (Windows):
   

   

   The left-hand column contains any Backup Comment that you may have inserted in a file if you created it by exporting from another Company or database. In the illustration, the first three files were created by the automatic timed back-up feature. This feature will insert Backup Comments automatically, showing the time and date the files were created. In the list, the Backup Comments are followed by the date the files were created and the file name. You can make the window wider if the file name is very long.
   

4. Double-click an item in the list to import it.
   

   The file will be imported. A message window informs you about the progress of the import.

When the import is finished, repeat the process if you need to import another file.
