Clean Up Orphan emails

When you remove the sender or a recipient from a Mail, the Mail will only be removed from the relevant Mailbox or Conference. The Mail will remain in the other Mailboxes and Conferences. When the last sender or recipient is removed, the Mail will usually be deleted from the database altogether. Periodically, you can run the 'Clean Up Orphan emails' Maintenance function to delete any Mails that for some reason were not deleted when the last sender or recipient was removed. The function will delete a Mail that has been sent to or received from an external email address if the sender or all recipients have been removed, but it will not remove a Mail that is attached to another record (e.g. to another Mail, to an Activity or to a Quotation) even if all senders and recipients have been removed.

When you select the function, the 'Specify Clean Up Orphaned emails' window will open:

Simply click (Windows/Mac OS X) or tap (iOS/Android) the [Run] button to activate the function.
