Structure of the CRM Module and Access Rights
This page describes using Access Groups to control access to the CRM module and to the
Calendar and the
Task Manager. Several levels of access are possible:
- Every user will be able to work with Activities that are connected to other records. From any record, a user will be able to use the ‘Workflow Activity’ function on the Create menu and the Workflow Manager to create, read and edit Activities that are connected to that record.
- Granting users access to the CRM module (in their Access Groups) will allow them to use that module (i.e. its settings, registers, Maintenance functions, forms, reports and export functions), but not the Calendar or Task Manager.
- To be able to use the Calendar and Task Manager, a user must explicitly be given access to the Calendar and Task Manager modules respectively (in their Access Groups). These modules have been provided solely for the purpose of granting or denying a user access to these features.
- If you need to hide Calendar and Timed To Do Activities from other users, mark them as Private. These Activities will be hidden from other users in the Calendar and in most reports, but a user with access to the Activity register in the System module will be able to see them. You cannot completely hide To Do Activities from other users, but the Task Manager Access setting in the System module will give you a measure of control.
