Periodic Personnel Statement
This page describes the Periodic Personnel Statement report in the Expenses module.
---
The Periodic Personnel Statement report is a list of Personnel Payments and Expense claims for each Person during a specified period. You can therefore use it to produce a full Expenses transaction history for each Person for a specified period.
Note that the opening balance shown for each Person in this report is the balance of the Nominal Ledger Account that is entered on the 'Accounts' card of their Person record. If you have assigned the same Account to more than one Person, this opening balance will be a total figure that includes every Person using that Account. If you want separate opening balances for each Person, you should specify separate Accounts in their Person records, or assign a dedicated Tag/Object to each Person.
As well as Expense records and Personnel Payments, the report will also list rows from Cash In and Cash Out records in which the Type is "Personnel Payment", and Purchase Invoices in which the Type of the Payment Term is "Employee".
When printed to screen, the Periodic Personnel Statement has the Standard ERP Drill-down feature. Click (Windows/Mac OS X) or tap (iOS/Android) on any transaction number (e.g. an Expense or Personnel Payment Number) to open the corresponding transaction record.

Person register, System module and Global User register, Technics module
- Range Reporting Alpha
- If you need to print a statement for a particular Person, enter that Person's Signature here.
- If you have more than one Company in your database, the employee that you specify here should have a Person record in the Company in which you are working, otherwise the report will be empty. If you leave this field empty or enter a range of employees, the report will only include those employees in the range that have Person records in the Company in which you are working. This is because the report will be constructed by looping through the records in the Person register in the current Company and printing statements for each Person.

Reporting Periods setting, System module
- Enter a report period. For each Person, the balance at the beginning of this period will be printed. the Person's transactions (i.e. Expense records, Personnel Payments, rows from Cash In and Cash Out records in which the Type is "Personnel Payment", and Purchase Invoices in which the Type of the Payment Term is "Employee") from the period will be listed, and finally a closing balance for the end of the period will also be printed.
- Persons with Balance Only
- Select this option if you need Persons with no opening balance and no expense transactions during the report period to be excluded from the report.
- Amounts in Currency
- The outstanding amounts can be shown in the home currency (converted using the Exchange Rate shown on each Expense or Personnel Payment record) or, if this check box is switched on, in the Currency of the Expense or Personnel Payment record. Select this option if you need the value of each transaction to be shown in the original Currency of the transaction. Otherwise, all transaction values will be shown in Base Currency 1. Balance figures will always be shown in Base Currency 1.
- Include Closed Users
- Select this option if you need Persons that have been marked as Closed to be included in the report.
