The life of a Reservation will usually see it pass through several stages. As it does so, its Status will be changed automatically, to signify the stage it has reached. For example, a Reservation may begin as an enquiry, then be confirmed, then the Guests will check in and finally the Guests will check out. Alternatively, from being an enquiry or being confirmed, a Reservation might be cancelled.

After listing the Reservation Statuses that you need in the Reservation Status setting, you should use the Reservation Status Sequences setting to specify the order in which the Statuses are to be used. For example, you can specify in the Reservation Status Sequences setting that a Reservation can proceed from being an enquiry to being confirmed or to being checked in, but not to being checked out.

The Default Status in the Hotel Settings setting will be copied to each new Reservation. If you specify a Default Status, it will therefore be unlikely that you will have Reservations in which the Status field is empty. If you do not specify a Default Status, this will be quite common. If you wish to allow the [Check In] button in the Reservation window to upgrade the Status of a Reservation from empty to checked in, be sure to enter a record in this setting that allows such an upgrade. You may wish to do so even if you have specified a Default Status, in case the Status is removed from a Reservation by mistake.

From: Paste Special Reservation Status setting, Hotel module; Specify a single Reservation Status in this field. When a Reservation has this Status, you will be able to change to any of the Statuses listed in the Allowed Status field below.; You can enter a single record in this setting for each Reservation Status, and a record in which this field is empty. This will be used when changing the Status of a Reservation that currently has no Status.
Allowed Status: Paste Special Reservation Status setting, Hotel module; You can specify several Reservation Statuses in this field, separated by commas. These should be the Reservation Statuses that can follow on from the Status in the From field above.; For example, if the From Status is an enquiry Status, the Allowed Statuses might be confirmed, checked in and cancelled (as shown in the illustration), but not checked out.
Description: Use this field to record any comment about the Reservation Status Sequence record. This comment will appear in the browse window but is otherwise for information only.
