The Item register and the Jewellery module

This page describes the changes that will be made in the Item register when you activate the Jewellery module.

The Jewellery module adds two cards to the Item record - 'Jewellery' and 'Watch'. The fields on these cards allow you to record the details about each jewellery Item.

The existing Alternative Code field will be added to the header. One way to use this field is to enter the same Alternative Code for each Item/SKU with the same style. For example, if you have separate Item records for diamond rings with different carat weights, you could use the same Alternative Code in each record. This will offer the following benefits:
  • When entering a transaction such as an Invoice, the Item 'Paste Special' list will include a column showing Alternative Codes. Sorting the list by this column will bring Items with the same Alternative Code (i.e. Items/SKUs with the same style) together, with the stock level of each Item in the Location specified in the Invoice being shown. If a particular Item is out of stock, this can help you offer similar Items with the same style to the Customer.

  • When viewing an Item record, selecting the 'Item Status per Alternative Code' function from the Operations menu (Windows/macOS) or Tools menu (iOS/Android) will print an Item Status report to screen. The report will show stock levels and other details of each Item/SKU with the same Alternative Code as the Item you are viewing.

You can also connect similar Items/SKUs together using the Alternative Items feature.

Activating the Jewellery module will also add the Cost Price field to the 'Pricing' card in the Item window:

As usual, if you need to hide the Cost Price from particular users, assign those users to Access Groups in which you have denied access to the 'View Item's Cost Price' Action.

In the jewellery environment it may be particularly advantageous to attach images to your Item records. There are many different ways to do this. When adding an Item record, you can use the [Add picture] button (if you are using macOS) or you can attach the image through the Document Manager (all platforms). You can also add images to Item records in batches using the 'Attach Pictures to Items' Maintenance function in the Technics module. Jewellery Items will usually be Serial Numbered. This will allow you to track individual pieces throughout the process. Any Items that you will purchase on a consignment basis must be Serial Numbered.
