Create Menu - Named User

This function is available from the 'Persons: Browse' window. It allows you to create a Named User with a Mailbox and a connected record in the Contact register in one step. This saves you the work of creating the Mailbox and Contact record separately.

When you choose 'Named User' from the Create menu, the 'Create User' window appears:

You must enter a User Name and Full Name to create a new user The User Name is the same as the Signature (the log-in ID). It is recommended that you also specify a password, but if you do not, the user will be asked to supply one when they log in for the first time. They will be able to supply a blank password, unless you have prevented this using the Password Security setting.

When you click the [Save] or [Save and New] buttons, a new user will be created. In the case of [Save], the 'Create New User' window will be closed, returning you to the 'Persons: Browse' window. In the case of [Save and New], a new 'Create User' window will be opened, allowing you to begin creating another user.

When you click [Save] or [Save and New], behind the scenes the process of creating a new User Account includes the following:

  • a new record for the user will be created in the Person register (as a Named User);

  • a new Mailbox will be created for that user; and

  • a new record for the user will be created in the Contact register, containing the information that you entered in the optional section of the 'Create User' window.
The Person record, Mailbox and Contact record will be correctly linked together, so the user will be able to log in and begin work immediately. But before the user logs in for the first time, you may want to give them an Access Group, to restrict the access they have to your Standard ERP system.

Note that the Full Name will be copied to the Name field in the Person record but also to the Our Ref field on the 'Sales' card as a default.
